In today’s fast-paced world, the pursuit of productivity has become a universal goal. Whether you are a business professional aiming to excel in your career or a sportsperson striving for peak performance, the challenges of productivity are a common thread that binds us all.
Productivity is not just about working harder; it’s about working smarter, finding balance, and achieving your goals efficiently.
Productivity is not merely the quantity of work completed; it’s about achieving more with less. It’s about optimizing your time, energy, and resources to reach your goals effectively and efficiently.
Productivity encompasses both personal and professional aspects of life and is a key determinant of success and of self-satisfaction. It’s a cycle which gets build up since as we get more satisfied, we look forward to it more and which leads to more results and the cycle continues.
In our daily lives, we encounter various productivity challenges that can hinder our progress. These challenges are universal, and even the most accomplished individuals face them. Let’s examine some of the common productivity hurdles:
1. Procrastination
Procrastination is the art of delaying tasks that need to be done. It can be triggered by fear, lack of motivation, or even perfectionism. Procrastination can severely hamper productivity and prevent you from reaching your full potential.
Keeping the important tasks for later.
The various tasks that we need to deal with are of varying categories like very important and urgent, not important but urgent, very important but not urgent, and routine tasks which aren’t important or urgent but need to be done on priority.
The time and effort needed for each of these tasks vary. One of the biggest procrastinations is that we keep doing the not so important tasks which leads to a pile up and a pressure situation . So, managing all the 4 types in the right manner is probably one of the best productivity tools that each of us need to acquire.
2. Information Overload, managing time and avoiding distractions.
In the age of the internet, we are bombarded with information from all directions. Sorting through this avalanche of data can be overwhelming and time-consuming, making it challenging to focus on essential tasks.
While it’s easy to say to not use mobile phones or keep them in silent etc, this also depends on the kind of work and profile that you are into. If you are into customer facing or team facing roles you need to constantly be in touch with things that are happening as decisions need to be taken quickly to meet the market requirements. To improve efficiency in such roles you depends on the latest and most efficient communication and data tools.
Some time back while I was shopping at a retail store and freezed in on a product which had a good offer. By the time I was at the counter for billing the offer had expired. The same is the case with the huge number of SKUs that are present in a e retailing platform.
One of the practices used by Tim Cook, CEO of Apple Inc., who is renowned for his time management skills, is following a strict daily routine, starting his day early and allocating specific time slots for tasks. Cook’s disciplined approach ensures that he maximizes his productivity and remains focused on his various tasks like described above and the various types of goals.
3. Burnout
Overworking without adequate rest and self-care can lead to burnout. Burnout not only affects your productivity but also your physical and mental well-being.
This is particularly true in individual sports and we have seen several sportspersons who arrived at the scene with a bang but failed to maintain the same consistency and get burnt out. In fact, I remember how in the movie called King Richard which is a biopic based on the William sisters how particular care was taken by Richard to manage their entry into the professional circuit to prevent such a burnout out. We have also seen this happen with stars like Bjorn Borg or even our own Vinod Kambli.
Since we have figures out the challenges lets now look at some of the practices used by successful people which have helped them work at high productive levels.
Practice 1: Set Clear Goals which are Stretched.
Elon Musk believes in setting goals that are not just achievable but also stretch your limits. By aiming for the impossible, you push yourself and your team to think creatively and work tirelessly to accomplish the task at hand.
Each individual knows what a stretched goal for himself is. As we often see once we keep a goal and achieve the same that goal no longer seems stretched to us. If we look back into our lives and careers several goals which we had felt was unattainable when we aimed and wanted them to have been attained by us and we no longer consider them as stretched goals in case we need to try and do the same think again.
There is this widely documented goal which was taken up by SpaceX for space travel which took into almost into bankruptcy. Today when SpaceX is able to reuse its rockets and has become the preferred carrier for agencies like NASA the same goals which were almost unimaginable when they were defined looks simple and achievable.
Practice-2: Be relentless in tracking these goals
Each day comes with its own sets of new challenges which sap away our time. The easiest excuse we can make to ourselves is that we didn’t have time to do something. But the basic principle is what gets tracked gets done. There are several countries in the country who are famous for the way they enter into new sectors and become a very dominant player in that segment. While very often we cite policy management or huge money power as the reasons, the real reason for their success is the brilliant tracking mechanism that they have built which helps track each of their planned goals and their sub goals with ruthless efficiency which ensures that bottle necks as they arise are addressed and the whole project moves forward.
Practice 3: Time Blocking and building a routine and periodisation
This is another principle which is widely practiced by almost all great and successful leaders. In this practice specific time slots for different tasks are allotted and this is adhered to religiously.
This kind of time blocking also leads to building a specific routine which meets your pattern and energy levels and ensure majority of the targeted things gets done. For example, present Apple CEO Tim Cook is someone who has a routine build in starting from 4 am daily .
Of course, there will be sudden important challenges that will keep coming up which will throw you off your planned routine every now and then. But accepting these challenges as they come along and moving forward helps save time and energy rather than speculating too much on how things would have panned out if these challenges hadn’t come about.
Practice 4: The Art of Selective Ignorance and Prioritisation
Warren Buffett, often referred to as the “Oracle of Omaha,” is a legendary investor known for his remarkable ability to sift through vast amounts of financial data and make sound investment decisions. His approach to productivity involves the deliberate exclusion of irrelevant information. Buffett practices selective ignorance by filtering out information that doesn’t directly impact his investment decisions. He focuses on understanding a few key industries and companies that he has identified has his areas of focus exceptionally well,
